Summary
The High School Registrar is a key member of the American School Dhahran (ASD) administrative and support services team, working within a small, dynamic team that supports ASD high school students and their families. This role is critical to the smooth operation of student records management, course scheduling, and communication between the school and its community. The Registrar ensures the integrity and accuracy of academic records and supports various aspects of student enrollment, academic progress tracking, attendance, and reporting.
Position Duties
The successful candidate will be expected to:
- Demonstrate a commitment to the safety and security of children and young people (child protection).
- Acquire and maintain a working knowledge of ISG District organization policies, practices, and procedures.
- Prioritize tasks to ensure deadlines are met.
- Coordinate through emails, personal correspondence, phone enquiries, and walk-ins related to student records/withdrawals/Ministry of Education requirements and documents.
- Process all new, returning, and withdrawing student files.
- Assist the District Admissions Office and the ASD HS counseling team with high school credit checks and enrollment information.
- Enter new students into the school database (Skyward).
- Monitor and maintain up-to-date student demographic, academic, and attendance data, ensuring consistency across platforms.
- Communicate IT and database account information to new and returning families.
- Coordinate with the Admissions Office to communicate school-specific enrollment information to families, if applicable.
- Maintain the school database for existing and withdrawn students.
- Generate requested database reports.
- Collaborate with school counselors, department heads, and administration to support accurate course registration and configuration of schedules, assigning of student classes, and preparation of class rosters.
- Import standardized test results into the student portfolio in the student database.
- Confirm grade entry and prepare grade reports in the student database.
- Communicate with parents regarding the withdrawal process and record requests.
- Coordinate student withdrawals in collaboration with the Admissions Office, Finance Office, IT department, and school offices.
- Prepare enrollment/verification letter to parents/employers upon request.
- Prepare leaving certificates for withdrawing students.
- Liaise with the Admissions Office/Government Relations Office to prepare attested documents.
- Generate transcripts for withdrawing students, students applying to universities, and graduates.
- Share transcripts with universities and graduates, as and when needed.
- Prepare transcripts for graduating students to be submitted to the Noor system, if applicable.
- Communicate with departments for recommendation letters, report cards, or withdrawals.
- Coordinate with the Government Relations Office/Admissions Office for attesting documents and updating the Noor database.
- Coordinate with, and serve as a member of the graduation planning team for graduation (diplomas, folders, transcripts, communicating with teachers, staff, external vendors, etc, as needed).
- Perform other duties as assigned by the principal and/or the assistant principal.
Qualifications and Knowledge
The ideal candidate will have:
- Minimum of a Bachelor’s degree in a related field of study.
- Proficient in Microsoft Office and Google Suite.
